How to collect team dues without chasing people

Updated 2026-10-07

Nobody joined a team to be a debt collector, yet the team treasurer ends up as one. A little structure makes dues collection quick and almost painless.

1. Work out the real number

List every cost: ice, field or court rental, referees, jerseys, tournament entry. Divide by the number of players you expect and add a small buffer for the player who bails. A clear total prevents the second request nobody wants to make.

2. Say what it covers and when it is due

Post the amount, the breakdown and a deadline in one message. People pay promptly when the ask is specific. Pin it in team chat so it does not scroll away.

3. Pick a way to pay and stick to it

Whether it is cash at the rink, a bank transfer or a payment app, choose one or two and say so. The more options you accept, the more reconciling you do.

4. Track it in one place

A notes app or a spreadsheet works until it does not. A dues tracker shows each request, who has paid and who has not. In Rinkmate you see a paid-versus-owed total at a glance, like $385 of $540 collected with three still open.

5. Remind only the people who owe

Messaging the whole team about unpaid dues annoys the players who already paid. Send reminders only to those who are still open. Rinkmate does this for you and works out the list on the server.

6. Let players mark themselves paid

When someone pays you in cash, they can mark it paid, and you confirm. It cuts back-and-forth and keeps the record honest.

7. Keep it fair and private

Do not shame people in the group chat. Handle late payments one-on-one, and set a policy up front for players who cannot pay.
