How to plan a team tournament weekend
A tournament weekend packs a season of logistics into two days. A timeline keeps it manageable.
A month out
- Confirm who is going. Ask for RSVPs and set a deadline.
- Register the team and pay the entry fee, then collect it from the team. See how to collect team dues.
- Book lodging early if travel is involved.
Two weeks out
- Share the tournament format and the schedule as soon as it is published.
- Set up carpools and confirm who has room.
- Decide on team food and who brings what.
The week of
- Post one message with every game time, field, arrival time and uniform. Pin it.
- Check the weather and the venue rules, such as parking and spectator limits.
- Pack a shared bag: first aid, tape, extra balls, a tent if it is outdoors.
On the day
- Keep one place for live updates: field changes, running late, lost and found.
- Assign someone to track times so the team is ready before each game.
After
Settle shared costs the same day if you can, and post photos while everyone is still talking about it.
Put the schedule on the team schedule, pin the details in team chat and track costs in the dues tracker.
